Customer Service & Dispatch Coordinator
Pay Range: $26.00-$28.00 per hour
Department: Operations
Reports To: General Manager / Service Manager

The Customer Service & Dispatch Coordinator serves as the primary communication and scheduling hub between customers, ield technicians, and office operations at Ideal Air. This role is responsible for delivering an exceptional customer experience through effective communication, schedule coordination, administrative support, and proactive follow-up. The position plays a critical role in maintaining operational efficiency, supporting technician productivity, and strengthening customer relationships. The ideal candidate is organized, detail-oriented, customer-focused, and capable of managing multiple priorities in a fast-paced home service environment.

Customer Service & Communication
- Answer inbound customer phone calls, emails, and text messages professionally and efficiently
- Serve as the primary point of contact for customer scheduling and service-related communication
- Schedule maintenance, service, diagnostic, and installation appointments
- Confirm appointments and communicate technician arrival expectations
- Follow up with customers after appointments to ensure satisfaction
- Assist in resolving customer concerns and escalate issues appropriately when necessary
- Maintain a calm, professional, and empathetic approach during customer interactions
- Promote and support maintenance agreement renewals and customer retention efforts
- Support online review generation and customer experience initiatives
Dispatch & Scheduling Coordination
- Coordinate, optimize, and dispatch daily technician schedules
- Monitor schedule efficiency and proactively assist in filling open time slots
- Coordinate with technicians and customers regarding schedule changes, delays, and appointment updates
- Assist with on-call scheduling and after-hours coordination as directed by management
- Support capacity planning during peak demand periods
- Prioritize emergency and urgent service requests appropriately
- Assist management with maintaining efficient route and schedule planning
Adminstrative & Operational Support
- Maintain accurate customer records and job information within Service Titan
- Ensure work orders, tags, notes, and customer information are entered accurately
- Assist with permit and inspection scheduling processes
- Coordinate with vendors, suppliers, and third-party partners when necessary
- Maintain operational documentation and workflow consistency
- Support inventory coordination and purchase order tracking as assigned
- Assist with maintaining organized office systems and procedures
- Support accurate communication between field staff and office personnel
Membership & Follow-Up Coordination
- Schedule recurring maintenance appointments
- Maintain membership agreement records and renewal tracking
- Conduct outbound calls for unsold estimates, pending work, and customer follow-up
- Assist with customer retention and reactivation campaigns
- Help maintain membership scheduling efficiency throughout the year
Required Qualifications
- High school diploma or equivalent
- Minimum 2 years of customer service, dispatch, administrative, or coordination experience
- Strong verbal and written communication skills
- Strong organizational and multitasking abilities
- Proficiency with Microsoft Office and general computer systems
- Ability to work effectively in a fast-paced environment
- Ability to remain professional under pressure
Preferred Qualifications
- Experience in residential HVAC, plumbing, electrical, or home service industries

Schedule Expectations

Master Plumber – Residential Service & Install

Job Duties
- Perform residential plumbing service, repair, and installation work
- Diagnose plumbing issues and provide homeowners with clear repair recommendations
- Install and repair water heaters, fixtures, piping, drains, valves, and related plumbing systems
- Ensure all plumbing work meets local code requirements and manufacturer specifications
- Communicate professionally with homeowners throughout the service process

Roles & Responsibilities
- Diagnose and repair residential HVAC systems including furnaces, air conditioners, boilers, and heat pumps
- Perform maintenance inspections and tune-ups
- Explain repair options and system conditions to homeowners
- Complete service documentation, photos, and notes in ServiceTitan
- Maintain clean and organized service vehicles with appropriate truck stock
- Install service accessories such as hard start kits, surge protectors, thermostats, and IAQ products

Position Summary:
Ideal Air Heating & Air Conditioning is looking for an experienced Lead HVAC Installer to join our growing team.This role is responsible for leading residential HVAC installations from start to inish while ensuring high standards of workmanship, safety, and customer service.
The Lead Installer works closely with apprentices and installers in the ield and serves as the primary technician responsible for completing installs correctly and ef iciently.

What You’ll Do

HVAC Install Helper
Position Summary:
The HVAC Install Helper supports the Lead Installer and Install Team in completing residential HVAC installations, including furnaces, air conditioners, heat pumps, boilers, and ductwork. This entry-level position is ideal for individuals who are mechanically inclined, eager to learn, and motivated to grow into a skilled installer.
Key Responsibilities
- Assist with the setup, preparation, and installation of residential HVAC systems and related equipment
- Load, unload, and organize materials and tools daily
- Maintain a clean, safe, and organized job site and company vehicle
- Follow instructions from the Lead Installer and General Manager to ensure each job meets company and code standards
- Support ductwork assembly, line set routing, condensate drain installation, and basic wiring under supervision
- Use hand and power tools safely and effectively
- Adhere to company safety protocols and proper PPE use at all times
- Communicate clearly and respectfully with team members and customers
- Assist in shop maintenance and restocking of install vehicles as needed
- Report any material shortages, tool needs, or site concerns to the Lead Installer promptly
- Service professionals must take responsibility for self-directed learning and training outside of work hours to enhance their technical and customer service skills.
Qualifications
- 0–2 years of HVAC or related trade experience (willing to train the right candidate)

Shop/Field Assistant
Position Overview
Support Ideal Air’s operations by keeping our warehouse clean and organized, managing tools and truck stock, and preparing job pack-outs so our technicians are always equipped and ready.
Key Responsibilities
- Maintain shop/warehouse cleanliness; keep walk paths clear; manage trash and battery charging.
- Manage pack-outs and stage materials for next-day installs; order supplies based on the schedule.
- Track inventory for trucks; ensure items are labeled/barcoded and restocked.
- Manage tool check-in/out, tracking, and calibration; assist with GPS install/maintenance for vehicles.
- Provide occasional field support (deliveries, site prep) during busy seasons.
Qualifications
- Reliable, organized, and team-first attitude; mechanically inclined.
- Able to lift 50 lbs and work in both warehouse and field environments.
- Familiarity with HVAC materials/tools a plus.
